You got an email from Beargrass SchedBot

Someone wants to meet you and a few others, and your calendars can't see each other. The email says how long, between which dates, and which hours. Answer it one of three ways; the first one takes a minute.

Let your assistant answer

Hand the email to your assistant and say "reply with every time I'm free." It reads your calendar for those weeks, drafts the list, and you read it and hit send. The email ends with a short contract written for assistants, so it gets the shape right the first time.

Type it yourself

Hit Reply and list when you're free, one time per line. Dates as "Oct 6" or "10/6", times as "2pm", "2:30pm" or "14:30", "all day" for a full working day, "anytime" alone if every working hour is open.

Send a screenshot

Screenshot your calendar for those weeks and reply with it attached. It reads the gaps, or tries to, and shows you what it read so you can correct it with one line.

What happens next

Reply, not Reply All. Then wait.

  • Your answer goes to the Scheduler only. The organizer sees when you said you're free, as with a Doodle; the other participants cannot.
  • You get a receipt with your times as read, and anything it couldn't read quoted back. Send more times any time; they're added.
  • Nothing works? Reply none. The organizer hears at once and can widen the window.
  • When everyone's in, you all get one calendar invite for the earliest time that works. It is the organizer's event; if it moves, your copy follows.
  • Gone quiet? After two days you get one nudge. Never a second.

If you are the organizer

Write the email you were going to write anyway

To the people you want to meet, with meet@beargrass.ai copied. Only the people you addressed are asked; anyone else you copied is not. Add four lines to be specific, or leave them out and it assumes 30 minutes, the next two weeks, 9am to 5pm Mountain, a video call. The picker on the front page writes the four lines for you.

Then nothing. It writes to each person privately, you included; answer yours like everyone does. You hear who has answered, who said none, and who is still missing after the nudge. When the last reply lands, everyone gets the invite.
